Getting in touch with us can be done a few different ways: Patient portal, phone, & messaging. Whether you need to book an appointment, ask about test results, or clarify treatment options, knowing the best way to contact your clinic saves time and reduces stress. This guide will walk you through practical steps and tips to communicate clearly and efficiently with your healthcare provider.

Understanding the Different Ways to Contact Your Clinic
Clinics offer several methods to reach out, each suited for different needs. Knowing which option to choose helps you get the right response faster.
Phone Calls
850-270-7021 is the clinic number which is directed to an answering service. When we are in clinic (Tuesdays, Saturdays) we make every attempt to answer the phone when it rings unless we are helping another patient at the desk. Calling is often a great way to schedule an appointment & the service is trained to assist. Texting is discouraged.
Direct Scheduling
If you need to schedule a visit, it is easiest to schedule directly on the website, or you may call the above phone number 24/7.
Online Patient Portal (Optimantra.com log in page)
Many clinics provide secure online portals where you can book appointments, view test results, and send messages to your healthcare team. Frankly, this is the BEST way to request a medication refill or ask a specific question. These messages are locked into your chart for privacy and communication is clear and concise.
Email Communication
Email can be helpful, but as you know there are MANY emails each day. If your email is about something time sensitive, or of a personal medical nature, it is best to use the patient portal (see above). Otherwise, this method is useful when you need to provide detailed information or attach documents.
In-Person Visits
You are always welcome to pop into the clinic lobby and see if we can help you right away or help you to be squeezed into the schedule.
Choosing the right method depends on your urgency, the nature of your request, and the clinic’s available services.
Preparing Before You Contact the Clinic
Preparation makes your communication clearer and more productive. Here are some steps to take before reaching out:

Check social media posts for Updates
Sometimes we post notices about closures or changes in contact procedures on instagram, facebook and it will also show at the bottom of the website feed. During closures, non-urgent messages are addressed when we return. Urgent messages are addressed in the orders in which they are received & of course in an emergency please call 911.
